The Workflow That’s Still Draining You
What I changed in my content creation process to reclaim time, cut noise, and keep my energy where it matters most
I’ve always been able to create strong content.
Clear ideas. Compelling insights. Unique perspective.
But even with that clarity, my creation process was... clunky.
Not broken. Just heavier than it needed to be.
Every week, I’d dig through the news manually, skim for relevant stories, review a running idea bank, decide what mattered, write the content, refine it, and then post it. All across multiple tools. All led by me.
Not a mess. Just too many micro-decisions for something that didn’t need my full attention.
And I’ve never been one to hand off my voice.
So delegating the writing was never on the table.
Every piece worked.
But every piece required me.
And when you’re operating at a high level, even a “working” system can be an invisible drain.
It’s not about whether something gets done.
It’s about what it costs to get it done, and who’s paying for it with their energy.
So I rebuilt the process in my last sprint.
Not to replace myself.
But to place myself only where I’m irreplaceable.
What I Shifted and Why It Bought Me Back Hours
The friction wasn’t dramatic.
But it was consistent: tab-hopping, browser fatigue, rewriting drafts, translating ideas between my different tools.
Each step “worked,” but each one also stole just a little more attention than it deserved.
So I did what high-capacity founders often delay:
I redesigned the system before it became a bandwidth crisis.
Here’s what changed:
I used Make to automate weekly news curation.
AI is a fast changing world, and staying on top of the news isn’t optional, Perplexity now pulls relevant AI news automatically into a Google Sheet. No more searching. No more tabs. No more decision fatigue at step one. I open the doc, skim through the news and choose what to talk about.I centralized everything inside Notion.
My ideas, content calendar, brand sheets, story bank, content drafts, publishing flow, 28-day sprint details, even content reach and engagement metrics. One system. One view.I built a dynamic library of brand sheets and content templates.
Each one tailored to a specific offer, tone, or platform. I feed them into my custom GPTs trained on my voice. The result? First drafts that come out close to final, sharp, aligned, and 90% there. And I stayed where only I can do the thing.
I decide the message. I anchor the aha moments and perspective shifts. I select the insight that matters now, and make it land through the story only I can tell.
At the center of this redesign is the idea of reclaiming my attention, and removing myself from the parts that never needed me in the first place.
What I Didn’t Automate (On Purpose)
This part is critical.
I didn’t automate everything.
Not because I couldn’t, but because I shouldn’t.
There are pieces of this workflow that still need me:
Choosing what my audience needs to hear this week vs what is pure noise
Spotting the nuance inside a story that others might miss
Naming the deeper shift that makes a post resonate instead of just land
That’s founder work.
And it’s irreplaceable.
Automation and AI should remove friction, not remove relevance and human perspective.
The smartest scale comes from refining where and how you show up, so that every ounce of energy moves the business forward.
The Takeaway And Your 1% Shift
You already know which process is asking too much of you.
Maybe it’s marketing.
Maybe it’s delivery.
Maybe it’s still stuck behind your calendar, your energy, or your approvals.
You’ve tolerated it because it’s familiar, but familiar doesn’t scale.
One clean redesign could buy back your bandwidth, and give you the space and leverage you’ve been building toward.
What is that process, and what will you do about it?
If you’re ready to remove the friction you’ve normalized by redesigning the exact system that’s still asking for too much of you, The Strategic Deepview™ is for you.
You’ll walk away with a cleaner, AI-powered workflow that saves you 20+ hours/month and restores your (or your team’s) bandwidth where it counts.
Time to quit what’s familiar and focus on founder work only you can do.
